Vihana Dental Care ("we", "us", "our") operates the website vihanadental.in and an associated WhatsApp booking assistant for our dental clinic at Kalapatti, Coimbatore. This Privacy Policy explains what information we collect from patients and visitors, how we use it, and the choices you have.

Information We Collect

• Contact & booking details: name, phone number, email address, and the service/date/time you select when booking an appointment through our website, WhatsApp assistant, or in-chat booking widget.
• WhatsApp messages: if you message our WhatsApp Business number, we receive your phone number and the content of your messages in order to help you book, reschedule, or get information about an appointment.
• Payment information: appointment booking fees are processed by Razorpay. We do not store your card, UPI, or bank details — Razorpay handles payment data directly under its own security and privacy standards.
• Appointment records: booking status and scheduling details are stored securely in our database (Supabase) and, where applicable, synced to our clinic's Google Calendar so the treating doctor can prepare for your visit.
• Usage data: standard technical data such as browser type and pages visited, collected automatically to keep the website running reliably and securely.

How We Use Your Information

• To schedule, confirm, reschedule, and remind you about dental appointments.
• To process appointment-related payments securely via Razorpay.
• To respond to enquiries sent via our website, WhatsApp, or in-chat assistant.
• To send appointment confirmations and reminders over WhatsApp, SMS, or email.
• To improve our services and the clinic experience.

We do not sell or rent your personal information to third parties.

Consent (DPDP Act, 2023)

We process your personal data under the Digital Personal Data Protection Act, 2023. Before you send us an enquiry through the website's contact form, we show you exactly what we will store (your name, phone number and email), why we need it (to reply to you about dental treatment), and ask you to tick a consent box. That tick, together with the wording you were shown and the time you agreed, is recorded with your enquiry. An enquiry submitted without that consent is not stored.

Tapping a "WhatsApp" or "Book on WhatsApp" button on this site opens WhatsApp with a message you choose to send. Sending it shares your phone number and message content with us so we can reply about your treatment or appointment — this is your affirmative action, and you can stop at any time by not sending the message. You may withdraw consent later, or ask us to access, correct or delete what we hold, using the contact details at the end of this policy.

WhatsApp Business Platform

Our WhatsApp booking assistant uses the Meta WhatsApp Business Platform (Meta Platforms, Inc.) to send and receive messages. When you message us on WhatsApp, your messages are processed through Meta's infrastructure in addition to our own systems, subject to WhatsApp's Business Messaging Policy. We only use this channel to assist with appointment booking and clinic-related communication that you initiate or have consented to.

We publish one WhatsApp number for contacting the clinic: +91 86680 82140. Our automated booking assistant answers on a separate line that is used only as the destination of "Book on WhatsApp" buttons; we do not publish it as a contact number, and messaging the published clinic number always reaches the clinic.

Clinic Certificates & Documents

The "Certifications" link in our footer lists our clinic licences, registrations and the treating doctor's qualifications. These are practice credentials that we publish deliberately — they contain no patient information, and nothing you submit to us is ever shown there. Documents are uploaded only by an authorised clinic account, accepted only as PDF, JPG, JPEG or PNG files within a size limit, and checked before storage. They are transmitted over encrypted connections (HTTPS) and stored encrypted at rest, and every upload, change, deletion and public retrieval is recorded in an audit log.

Third-Party Services We Use

• Meta / WhatsApp Business API — appointment messaging.
• Razorpay — secure payment processing.
• Google Calendar — internal appointment scheduling for our doctors.
• Google Reviews / Google Business Profile — displaying our public patient ratings on the website.
• Supabase — secure database hosting for appointment and clinic records.

Each of these providers processes data under its own privacy policy and security practices.

Data Retention

We retain appointment and contact records for as long as necessary to provide dental care continuity, meet legal/medical record-keeping obligations, and support follow-up care. You may request deletion of your personal data at any time, subject to any records we are legally required to retain.

Your Rights

As a Data Principal under the DPDP Act, 2023, you may contact us at any time — by phone, email, or the data deletion page — to:

• Request a copy of the personal data we hold about you (right to access, §11).
• Request correction or completion of inaccurate information (right to correction, §12).
• Request erasure of your data, where legally permissible (right to erasure, §12).
• Withdraw consent to receive WhatsApp, SMS, or email communication from us (§6(6)).
• Raise a grievance about how we have handled your data (right to grievance redressal, §13).

We act on these requests within a reasonable period. Requests to access, correct or erase your contact record are carried out by the clinic through our internal console, and each such action is written to an audit log recording who performed it and when. Where a request would remove clinical or financial records we are legally required to retain, we will tell you which parts we cannot delete and why.

Children's Privacy

We provide pediatric dental care, and appointment bookings for minors are made by a parent or guardian on the minor's behalf. We do not knowingly collect personal information directly from children without parental involvement.

Security

We use industry-standard safeguards — including encrypted connections (HTTPS), access-controlled databases, and signed webhook verification for WhatsApp and payment integrations — to protect your information.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date.
